When you switch AI, what does your business forget?
Every business using AI is quietly building something it does not own. Each week its assistants learn a little more about how the business really works, and almost none of that learning is written down anywhere else.
What your AI is learning
Which client always pays on the 30th. Who actually signs off at a customer, whatever the organisation chart says. The supplier that needs chasing twice. Why you stopped offering a service last summer. None of it is in a manual, because nobody needed a manual. It lived in people's heads, and now it is starting to live in their assistants.
That is a good thing. An assistant that knows these things gives better answers than one that does not. The problem is where the knowing is kept.
Where it is kept
Today, what an assistant learns is held by the assistant: in its memory, its instructions and its history of conversations. It belongs to the vendor's product, and often to one person's account within it.
That creates two quiet risks. When the business moves to a better assistant, what the old one learned stays behind. And when someone leaves, what their assistant knew about the business usually goes too, or simply stops being reachable.
Neither shows up on a balance sheet. Both grow more expensive every month you use AI well.
Why connecting is not enough
Most tools now advertise that any assistant can connect to them. That is useful, and it is fast becoming the minimum anyone expects. But being reachable is not the same as being yours. If the learning still lives inside one assistant, it still leaves with that assistant.
Keep the learning outside the agent
The fix is to hold what your business knows outside any single assistant, in a record the business owns. Assistants then become replaceable, and the learning compounds instead of resetting each time you switch.
Before you commit more of your business to any AI tool, three questions are worth asking. Can we export everything it has learned, in full and in a form we can use? Could a different assistant use that learning tomorrow? And who, apart from us, can read it? If the answers are no, no and the vendor, the learning is theirs.
That is what we are building: a record of how your business actually works, made from real conversations as well as what was typed, never read by us, and usable by whichever AI you choose. Your AI is learning your business. Keep what it learns.
